Import Payment Requests from a CSV File

If you need to send out a large number of payment requests or are migrating from another system with outstanding invoices, the Import Payment Requests feature can save you hours of work.
You can now upload a CSV file directly through the Pay Advantage portal to create customer records (if they don't exist) and attach payment requests to each one.
Saving or Exporting a CSV of your previous payments
Importing your customers and payments from an exisiting CSV is easy.
If you have your customer and payment list stored in an excel spreadsheet, Google sheets, or any other customer management system you should be able to easily Export, Download or Save as a CSV (Comma Separated Values) file.
If you don't have an existing payment list you can create one with our sample CSV attached at the bottom of this help article.
Importing your CSV
- Log in to your Pay Advantage portal.
- Navigate to Payment Requests in the side menu.
- Click the Import button.
- On the next screen, upload your CSV file.
- Once uploaded, you'll see a preview where you can manually edit any records before finalising the import.
- Click Import to create your customers and attach the payment request
NOTE: We suggest you test your import first with less than 10 records. If you import your entire list and then realise a mapping or field is incorrect it can be time consuming to delete the import.
If your file contains headings these will appear above the dropdown box. You can then select the value from the dropdown that you want to match in our system. Be careful not to map the field twice otherwise an error will occur.

Your file must be a Comma Separated Value (.csv) file format. You can download the CSV template here.

Customer Details
- You must provide either:
- Customer Code, or
- First Name & Last Name, or
- Business Name
- If multiple are provided, Customer Code will take priority.
Payment Request Details
- Description and Amount are required
- Payment Request Type can be payment or authorisation. If not set, payment is used by default. Authorisations are used to place a hold on a credit card.
- Send initial link can be
YorN. IfYis used, one of the following must be provided: Customer Code, Email, or Mobile. - OnCharge Fees can be
YorN. If left blank, the default isN.
Date Formats
- We accept most common date formats, including:
- DD/MM/YYYY
- YYYY-MM-DD
- MM/DD/YYYY

- Only match each column once during the import process.
- You can edit entries before final import, so donβt worry if you need to fix small issues.
